Message from the Chair

Dear Department Faculty, Clinicians, Researchers, and Staff,
I have much news to report as this current year comes to a close:
  • We are busy preparing for our 8th Annual Pediatrics Research Symposium, January 12/13, 2017. This event promises to be our best ever! To register, see the event section below, and don't forget to register!
  • The 2013-2015 Departments of Pediatrics and Surgery Biennial Report was recently completed and printed. Look for your Division's copy soon, and an online version as well.
  • The Department continues to focus on Childhood Diseases, and our taskforce will be providing regular updates
  • Our Semi-annual Faculty Meeting was held Wed, Nov 30th, with about 70 Department Faculty and MSP Physicians (both clinicians and researchers) in attendance!
  • We are entering our annual budget planning season, so you'll be hearing from my offices soon to coordinate the Division budget meetings.
With 2016 nearing its end, I and my staff wish to thank each of you for your valuable contributions towards our mission of "providing excellent clinical care, developing new technologies, and incorporating cutting-edge research." You each add your own important piece to all that we accomplish as a Department.

Vice-Chair Corner: Clinical Research

A new initiative in 2017 is being implemented to help foster innovative collaborations and cross-discipline team science that is led by investigators in Pediatrics.  To facilitate this process, we will host research "incubator sessions" targeted to address specific high profile, novel and complex research questions.  It is anticipated that 10-12 participants will be selected and invited to engage in these ½-1 day sessions. These individuals will represent basic and clinical scientists, trainees and junior faculty, informaticists, industry, technology partners, and others as appropriate, who will be selected from within the Department, across the School of Medicine, and across the campus and the Mesa. The goal of these sessions will be to brainstorm novel approaches to testing selected hypotheses, and to organize a research strategy around the selected approaches leading to extramural research funding. The first session in 2017 will be led by Respiratory Medicine. Those who would be interested in hosting or participating in future "incubator sessions" can contact me at chchambers@ucsd.edu


Vice-Chair Corner: Residency Program Update

 We are half-way through the academic year already and the residents are all doing well but are about to face the challenge of the busy winter season. The workload during winter can be stressful, so please take a minute to check in with residents that you see and work with to see how they are doing. We are working hard to maintain resident well-being, and this time of year is always difficult.

I want to again thank all the faculty who have attended morning report in the past months. The Chief Residents have been mixing up the format of morning report to keep it fresh and engaging and having faculty seems to be the key to success. I also appreciate the time commitment of faculty who have helped with the recruitment of next year's class of residents. Applicant interviews will continue until mid-January. Thank you for helping with this important process.
The Residency Program has two large initiatives underway to improve our curriculum and evaluation systems. Dr. Chris Cannavino is working with divisions to develop block education (a.k.a. school) sessions to better deliver core curricula to a larger percentage of our residents. These are 3-4 hours of protected time during which the residents focus on learning important aspects of a particular subspecialty. Faculty who have participated in these sessions so far have enjoyed them and the residents have given very positive reviews. Dr. Cannavino will be reaching out to your division soon to develop a school session for your area. The second initiative is headed by Dr. Lisa Stellwagen who is gradually converting our evaluation process to entrustable professional activities (EPA's) in place of the cumbersome ACGME milestones that we currently use. EPA's are more intuitive for both the faculty evaluator and the resident. Dr. Stellwagen will be coming to your group to update rotation goals and objectives as part of this process so please help us complete this conversion.
Lastly, Shannon O'Donnell (Education Programs Coordinator) has made substantial improvements in our utilization of New Innovations (NI) for many aspects of the residency program, including evaluations. Residents should now be routinely evaluating faculty and rotations using NI. If you are having problems with NI or have suggestions for further modifications, please let Shannon know (sbodonnell@ucsd.edu).

Pediatric Research Symposium Update
The Pediatric Research Symposium, Translating Science into Child Health by Next Generation Faculty, will take place on January 12-13, 2017 in the Education and Office Building on the RCHSD campus. Over 150 abstracts were submitted for consideration by researchers and clinicians at UCSD and RCHSD.
We are excited by the scope and general excellence of these abstracts. For more information and to RSVP, please see the event section towards the top of this issue. 
Research Subject Enrollments at RCHSD Shows Increase
The number of study enrollment steadily increased over the past five years and we anticipate it will continue to grow. Currently, 609 active research studies are conducted at RCHSD. In comparison, in December of 2015, there were 510 active research studies. 
Changes in IRB Forms
UCSD IRB has implemented new forms as described below:
  1. New Forms for Amendment Requests and Key Personnel Changes - Two new forms have been created for amending an approved study and requesting changes to key personnel associated with a study. The Amendment Request Cover Letter was created to formalize the means for providing the IRB/HRPP with sufficient information for an appropriate review of an amendment request. The Request Key Personnel Changes Only form can be used for making changes to key personnel associated with a study only where those changes do not require revision of the consent/permission/assent form(s) and/or the change is not to the PI of the study.   2. New Forms for Existing Medical Record Review Studies - New forms have been created for studies that propose to only review pre-existing medical records. These forms may only be used when a retrospective medical record review study that is reviewing pre-existing medical records is being proposed. Pre-existing means the medical records are collected prior to this research use for the purpose other than the proposed research, and the only information accessed in the medical records must be present at the time the Existing Medical Record Review (EMRR) Application Facesheets are submitted to the HRPP via the web. These forms include EMRR Application Facesheets and an EMRR Research Plan. These forms and information about using these forms can be found here.

The Clinical Research Seminar Series at RCHSD is intended for researchers (physicians, nurses, fellows, and research staff) interested in clinical research. The overall goal of this seminar series is to provide attendees with information on best practices, current regulations, and guidelines pertaining to clinical research at RCHSD and UCSD as well as provide clinical research resources. CME Continuing Education Credit Hours are awarded to those who attend.

"15 Tips for the Grantwriter"

The new grant cycle begins in January, so now is a good time to begin drafting your research proposals for upcoming deadlines. Below are 15 tips you should keep in mind before you start, and during, the writing process:  
  1. Start working on time (watch those deadlines!, and allow extra time). 
  2. Read the application instructions carefully.
  3. Review the literature and cite relevant publications.
  4. Put together a research team which has experience and expertise in all proposed research fields.
  5. Propose scientifically/clinically important and innovative research.
  6. Do not propose an unrealistically large amount of work.
  7. Do not assume the reviewer knows what you intend to do; be clear in explaining what you mean.
  8. Proposed aims should not depend on the success of other aims.
  9. The specific aims page must match the rest of the application.
  10. Write a reader-friendly application by avoiding jargon and excessive language.
  11. Emphasize your past productivity and how your previous work has led up to the hypothesis to be tested.
  12. Explain in detail experimental elements that are essential to the proposed research, and be brief with elements that are common and well-known.
  13. Include statistical support for sample size calculations and statistical analyses.
  14. Give enough time for your collaborators to write letters. 
  15. Make sure your collaborators have enough time to read the application before submission.

Beware of Email Phishing Scams
UC San Diego faculty, staff, and students are often the target of attempts to gain login credentials or personal information, also known as phishing. Phishing is the practice of requesting confidential information in an email that looks like it came from an institution such as a university, bank, IRS, USA or other government, law firm, the Post Office, UPS, FedEx, Amazon, eBay, PayPal, or any store or social media.There has been a recent increase in phishing attempts that claim to be from a UC San Diego department. Health Sciences Grant Funding Opportunities

DEA Fee Exemptions
UCSD faculty physicians and Advance Practice employees, licensed in California, may apply for a fee-exempted Drug Enforcement Administration certificate for sole use at UCSD locations and RCHSD locations. There is no charge for the DEA registration if a UCSD Medical Center address and mail code is used. To learn more, click here.

Reminder: Mental Health Services Available

Just a reminder that UCSD faculty, residents, fellows and medical students can access the HEAR (Healer Education Assessment and Referral) Program, which offers confidential support and resources for those who may be dealing with personal and emotional challenges. The goals of the program are to educate medical students, house-staff and faculty members about burnout, depression, and suicide; provide confidential, online assessment of stress, depression and other related issues; make personalized referrals to local mental health clinicians and other community resources. Counselors may be accessed by calling (858) 642-2913 or via the HEAR website. Those wishing to remain anonymous may complete Stress & Depression Questionnaire, accessible from the web site. An experienced clinician will review questionnaires and will leave a personal response that will include an assessment and any recommendations for further evaluation or follow-up.  UCSD Staff and others can access the FSAP (Faculty and Staff Assistance Program) for similar services via the FSAP website.
